Invitation Letter
If you require an official invitation letter for visa application purposes or to obtain travel authorization from your institution, we are pleased to provide this service to registered participants of ICWL-SETE 2025.
Please note: The invitation letter will only be issued to registered participants who have completed their conference registration and payment.
Application Process
First, you must complete your conference registration through our official registration system. Invitation letters will only be issued to participants who have successfully registered and paid the registration fee.
Go to Registration PortalPlease gather the following information before submitting your invitation letter request:
- Your full name (as it appears in your passport)
- Current affiliation (institution/organization)
- Complete institutional address
- Your registration confirmation number
- Passport number (if required for visa purposes)
- Your role at the conference (e.g., presenter, participant, workshop organizer)
Send your invitation letter request to our organizing committee using the email template provided below. Please use the subject line format: "Invitation Letter Application - [Your First Name] [Your Last Name]"

After reviewing your request and verifying your registration, the organizing committee will issue your official invitation letter. You will receive the letter via email in PDF format, typically within 5-7 business days.
Important Notes
- Invitation letters will only be issued to participants who have completed their conference registration and payment
- The invitation letter is for visa/authorization purposes only and does not guarantee entry to Hong Kong or any other country
- Please apply for your invitation letter well in advance of your visa application deadline (at least 4-6 weeks before the conference)
- The organizing committee reserves the right to verify all registration information before issuing invitation letters
